Conditions of Trade

INITIAL ENQUIRY
When first briefing us provide us with as much information as possible. Provide full details of your client or the specific groups special interests, ie. likes, dislikes, religion, personal meal preferences and any physical disabilities. We also need to know what standard of accommodation they require. The more background information you can provide about your clients, the better the final product.

The quality of our proposal depends on the accuracy and content of your brief. We reserve our right in this regard and will not accept any responsibility for clients who may not fully enjoy the product as a result of our receiving an incorrect or insufficient brief or background information.

QUOTATIONS
Quotation requests will be processed and acknowledged immediately. You will receive your quotation within 24 hours but if we expect a delay we will advise you. Quotations will be given in SA rand and will be subject to change if costs change beyond our control. Upon request we will provide quotations in other currencies.

DEPOSITS
A 50% non-refundable deposit is required to secure our services.
We recommend that you ask your client to insure against loss of deposit and cancellation fees that may be levied by our company or our suppliers.

PAYMENT
Final payment is due 60 days before the safari/tour starts. Payments are to be made directly into our bank account in SA rands and made payable to Bearded Heron Safaris. All bank charges are for the payee's account.

CANCELLATION
Cancellations must be conveyed to us in writing. On receiving such notification all the deposit will be forfeited to cover our own costs to that date, and those of our contractors/suppliers. If cancellation is received less than 60 days prior to commencement of services we will determine the cancellation fee (up to 100%) once our expenses have been assessed. Our decision in this regard is final. Last minute changes in flight times or airports, pertaining to transfers, will be charged.

AMENDMENTS
The lowest possible amendment fee will be levied in the event of tour changes being instructed by you, your client or another party. Such fees should be paid prior to amendments taking effect.

PASSPORTS, VISA AND HEALTH REGULATIONS
It will be your client's responsibility to ensure that these are in order for entry, multiple entry and return. We will be pleased to assist and to charge appropriately for services rendered. Malaria precautions are recommended and the chosen prophylaxis will be the sole responsibility of the client after consultation with their medical practitioner.

RESPONSIBILITY
Bearded Heron Safaris, nor their owners, nor any agent, supplier or person contracted, shall be liable for any loss whatsoever, damage to baggage and property, inconvenience, delay, cancellation, deviation, alteration, sickness, injury or death whether such a loss be a result of negligence or not. 'Acts of God' and factors beyond our control (ie Floods, Fires etc.) remain exclusions of our responsibility.

We strongly encourage you/ your clients to purchase insurance against such eventualities.

AIRLINE/CARRIER RESPONSIBILITY
The passenger's airline or other carrier's tickets when issued shall constitute the sole contract between the passenger and the airline or other carrier.

Bearded Heron Safaris is committed to the principals and motivations of international eco-tourism organisations, and in particular is directly committed to applying the following principals in all aspects in operations within South African National Parks, and with specific, ongoing activities within the Kruger National Park.

Bearded Heron Safaris aims specifically to:

CONDITIONS
Due to the nature of hiking, camping, touring, driving and the general wildlife conditions on our safaris, Bearded Heron Safaris, their employees, guides and affiliates, do not accept responsibility for any client or dependant thereof in respect of any loss, injury, illness, damage, accident, fatality, delay or inconvenience experienced from time of departure to time of return, or subsequent to date of return, such loss, injury, etc. arising out of any such safari organised by Bearded Heron safaris. Should a safari be cancelled by Bearded Heron Safaris due to weather conditions or other reasons, it shall either refund full payment or offer a substitute safari. Should Bearded Heron Safaris have to curtail a safari for any reason due to weather conditions or other factors after the time of departure, Bearded Heron Safaris will not be liable for any form of refund whatsoever, although everything will be done to complete a safari or to utilise an alternative arrangement or venue. All safaris are subject to a minimum of 8 people travelling, although a safari may still run with fewer, at the discretion of Bearded Heron Safaris. Should a client decide to curtail a safari for any reason whatsoever, Bearded Heron Safaris will not be liable for any refund whatsoever.



Code of Conduct

Bearded Heron Safaris will provide an extremely personalised and professional Kruger National Park experience to guests on safari.

Bearded Heron Safaris will ensure that all vehicle, guide and route permits and licences are legally accredited and internationally accepted in order to set standards in the tourism and hospitality economic sector in South Africa.

Bearded Heron Safaris will promote and market the Kruger National Park and South Africa as a viable holiday destination for international tourists and visitors.

Bearded Heron Safaris will play an active role in the protection and conservation of The Kruger National Park as a national heritage to all South Africans.

Bearded Heron Safaris will play an active support role in the cultural, economic and eco-tourism developments in South Africa that will lead to equity and equal opportunity for all South Africans in the future.
